#how we handle your data
Cosmic Oasis Studio keeps this policy deliberately plain. It covers the little data this site touches, why we touch it, and the rights you have over it.
#information we receive
The site itself stores no personal data. If you contact us by email or through the contact form, we receive what you chose to send — typically your name, your address for correspondence, and the content of your message.
#what we do with it
Your details are used for exactly one thing: answering you and handling whatever you asked about. We do not add you to mailing lists you did not ask for, and we do not share your details with advertisers.
#retention
Correspondence is kept only as long as it is needed to handle your matter and any follow-up, after which it is deleted. Records we are legally required to keep are kept for the statutory period and no longer.
#your rights
Access, correction, deletion, and objection to any use — all of these are yours to request, free of charge. One message to alan@cosmic-oasis-studio.com is enough.
#security
What little we hold is stored on access-controlled systems and is not accessible to anyone outside the business.
#under-16s
Pregnancy and family classes mean children are sometimes present in the studio, but this site does not knowingly collect personal data from anyone under 16 through its forms. A parent or guardian books and corresponds on a young student's behalf.
#cross-border transfers
Email carrying your enquiry may pass through mail servers outside Japan as part of ordinary delivery. It is never forwarded to a third party for marketing or resale, regardless of where it is routed.
#analytics
This site runs no third-party analytics or advertising scripts. Basic server logs kept for uptime and error diagnosis are not linked to any individual and are cleared on an ordinary rolling schedule.
#governing language
This policy is published in English. If it is ever translated for convenience, the English version is the one that controls in the event of any discrepancy.
#automated decisions
No automated system decides anything about you or your booking. Every enquiry is read and answered by Alan directly — there is no scoring or algorithmic triage of who gets a reply.
#third-party links
Where this site links to teacher-training bodies or other external resources, those destinations run their own privacy practices. This policy covers only what happens on cosmic-oasis-studio.com.
#payment details
Card details for term passes and drop-in bookings are processed by our payment provider and are never stored on this site itself. We only retain a record that a payment was made, not the card number behind it.
#student registers
Attendance for each class is noted for scheduling and safety reasons — knowing who is in the room matters if there is ever an incident. Registers are kept for the current term and the one before it, then discarded.
#questions
The data controller for this site is Cosmic Oasis Studio. Anything unclear in this policy — write to alan@cosmic-oasis-studio.com and a person will answer. If a request is not resolved to your satisfaction, you may also raise it with Japan's Personal Information Protection Commission (個人情報保護委員会).
